Managing Graduate Assistantships

Graduate Assistantships (GAs) are a vital part of the NC State graduate student experience, serving as both a key recruitment tool and an important funding resource. Please refer to the Student Funding website for an overview of Graduate Assistantships including types of assistantships, eligibility, and benefits. This page is intended to provide information regarding policy, process, and systems for hiring, managing, and supporting GAs.

NextGen System

NextGen Graduate HR system is the paperless system within MyPack portal for processing all graduate assistantships actions. The system fully automates the GA hire, rehire, modification, and separation actions with built in approval workflows. It creates an electronic Terms and Conditions (T&C) contract that routes to the supervisor and student for electronic signature. NextGen interfaces with the HR system to create an employment record for the GA. Grad HR Now

Grad HR Now is the service portal for NC State personnel to access knowledge articles related to graduate assistants including NextGen system and to request assistance from the Graduate School regarding any topic related to Graduate Assistants and Next Gen system.

GA Policies and Requirements

The Graduate Handbook Section 4.1 establishes the policies for graduate assistantships. Departments establish the stipend levels for graduate assistants in their academic programs based upon job responsibilities and funding resources.

GA Eligibility

  • Graduate Students must meet the following requirements to hold a GA appt.:
    • Admitted into the Graduate School in full graduate standing
    • Enrolled in the fall and spring semesters
    • Must be in good academic standing (i.e. 3.000 GPA or above)
      • DGP’s can request an Assistantship Reinstatement if a student has not maintained good academic standing. See “Academic Standing and Assistantship Reinstatement” section below for additional information.
    • International graduate students must complete a tax assessment with the Office of Compensation and Taxation (ICT) to be paid as a GA.

GA Stipend and Tax

GAs are paid on a bi-weekly basis in equal installment amounts based upon their total annualized salary and the appointment duration. GAs are not required to submit formal timesheets for payment.Graduate Payroll Calendar
Payroll Schedules and Deadlines
The minimum hourly wage for a GA is the minimum wage for North Carolina, currently at $7.25/hour. The maximum hourly wage for a GA is $60.00/hour.
NextGen system requires an annualized stipend be entered for GA appts. The Graduate School developed the GA Stipend calculator tool to assist departments to budget and plan for various GA appt. duration and stipend scenarios.GA Stipend Calculator
FICA (Social Security & Medicare) taxes are generally exempt for students employed by a university if they work less than 30 hours per week and are enrolled at least half-time (3 graduate hours in Fall/Spring, 1 hour in Summer). If both criteria are not met, FICA taxes will be withheld.Federal Insurance Contributions Act

The Graduate School strongly encourages the use of the semester dates listed above. However, hiring departments may hire graduate assistants (except GTA) at any time during the semester based on departmental needs.

Early Termination of GA Appointment & GSSP Impact: A GA appointment may be terminated early before its designated end date due to loss of funding, for cause, for academic delinquency, or voluntary mutual agreement. In such cases, the Supervisor is expected to notify the student in writing that the appointment is ending early and to provide the reason(s) for the early termination. Early termination can have an impact on the GSSP support a GA may have received during the term.

GSSP Impact: GA Appointments must last until November 30 (Fall) and April 30 (Spring) in order to receive the full tuition benefit. If it is terminated prior to these dates, the tuition support will be prorated. Any remaining tuition balance will be billed to the student. The GA will retain the RATA insurance for the remainder of the term.

* Generally, summer is treated as a “vacation term” for on-campus employment purposes and international students may work more than 20 hours per week if it is not their first or final semester. However, if summer marks their first or final semester, then it is considered an academic term and they are limited to 20 hours per week.

* All on-campus employment must stop if the I-20 or DS-2019 has expired or if the international student’s last semester of required enrollment has ended, whichever occurs first.

Graduation and GA Appointments

To be employed as a graduate assistant, students must be in a degree-seeking or certificate program. Eligibility for holding a GA appt. ends once all program requirements are met.

  • GTA Exception: Graduate Teaching Assistants (GTAs) are permitted to remain employed through the end of the respective semester but must complete all work by the date of graduation.
  • U.S. Citizens and Permanent Residents: Are no longer eligible to work as a graduate assistant in the semester/term following degree completion or upon unconditionally passing their final oral defense. They are permitted to work through December 31st if graduating in Fall semester and through May 15th if graduating in Spring semester.
  • International Graduate Students: Must complete their degree by their I-20 end date and be terminated from all on-campus employment as of the graduation date for that semester. Students with approved Post-Completion Optional Practical Training (OPT) must be terminated from on-campus employment by their shortened I-20 end date.
  • No Registration ETD Deadlines: If a graduate student unconditionally passes their defense and submits the first ETD draft of their thesis/dissertation by the published deadline, they should not register for classes in the following semester. In addition, graduate students meeting this requirement may not hold an assistantship in the following semester. They have technically met their degree requirements and are no longer eligible for assistantship support. Please see the Graduate School’s ETD Deadlines for additional information.

Off-Campus Employment

While domestic graduate students can work off-campus, it’s generally recommended they refrain from working more than 20 hours per week during Fall and Spring semesters. GAs should also consult their academic advisor to discuss the impact of additional employment on their studies and assistantship.
International Students

Not permitted to work off-campus without prior authorization from the Office of International Services (OIS) and/or U.S. Citizenship and Immigration Services (USCIS). Please refer to OIS website for additional information.

Leave and Time Away From Work

Graduate students may need to take time away from their employment and studies during their academic careers. They should inform their supervisor with as much advanced notice as possible for any leave requests.

Academic Standing and Assistantship Reinstatement

GA’s are required to be in good academic standing (maintain minimum GPA of 3.000) in order to hold a GA appointment for the semester. A student who has failed to maintain good academic standing may be reinstated upon petition by the Director of Graduate Programs (DGP) within their academic program. The reinstatement is a two step process:

Academic Standing Definitions

  • Academic Warning – A graduate student with a GPA below 3.0 and having accumulated 18 or fewer hours at the 400-level or above may be placed on academic warning. Graduate students on academic warning can still hold an assistantship or fellowship with an approved reinstatement.
  • Academic Probation – A graduate with a GPA between 2.667 and 2.999 and having accumulated more than 18 hours at the 400-level or above may be placed on academic probation. if they have a GPA between 2.667 and 2.999 and have accumulated more than 18 hours at the 400 level or above. Graduate students on academic probation can still hold an assistantship or fellowship with an approved reinstatement.
  • Termination – A graduate student with a GPA below 2.667 and having accumulated more than 18 hours at the 400-level or above may be terminated from their academic program. Graduate students may also be terminated if they accumulated 30 or more hours and have a GPA below 3.0. Graduate students who are terminated may not register for classes and are ineligible for funding support.

Reinstatement Instructions

  1. The graduate student’s DGP must submit a completed and signed Reinstatement Form to The Graduate School.
    • The graduate program must include a detailed and specific account of the circumstances that led to the graduate student’s poor academic performance and why the program believes that the graduate student can return to good standing. 
    • The graduate program must include an accompanying mentoring plan that establishes expectations for the graduate student along with clearly defined goals and milestones.
    • Personal statements from the graduate student submitted as “sole” documentation will not be considered
  2. Reinstatement requests are reviewed by the Dean/Asst. Dean for approval. Graduate programs will be notified via email and signed Reinstatement form of the decision. Departments must upload the signed reinstatement form to the NextGen hire action for the student. If a graduate student is declared ineligible, then their assistantship and/or fellowship support will have to be terminated. Decisions are considered final and cannot be appealed.
